In the months since the COVID outbreak, many businesses have been adapting their processes to the realities of remote document review often with all reviewers working from home. Processes like document review can require involved discussion, which can be more efficient with face-to-face interaction and discussions. This post will explore how the Alfresco Enterprise Viewer supports Microsoft Teams to make document review more efficient.
Remote and Work From Home challenges
We’ve written some on the challenges of work from home. In the case of document review, certain documents can require extensive amounts of discussion. For one of our life science customers using the Alfresco Enterprise Viewer for clinical trial documents, some of the documents had more text in the annotations than the document itself. One of the key capabilities of the Alfresco Enterprise Viewer is the ability to have real-time collaborative annotations where reviewers are seeing each others annotations as they happen with the capability to quickly respond. The Alfresco Enterprise Viewer also provides for chat features.
As users add more and more replies or chat messages, it might make sense for all the reviewers to quickly jump on a video call in addition to annotating the document to discuss changes.
Making Annotation more efficient with Teams Video calls
The Alfresco Enterprise Viewer provides for easy Teams access from within the interface. In the below video:
- Three Users are reviewing a Quality Control (QC) document leveraging the Alfresco Enterprise Viewer collaborative annotation features with replies and chats.
- One user, realizing the replies are going back and forth quickly, accesses the Teams integration option from the Alfresco Enterprise Viewer to allow the reviewers to all quickly meet in a Teams meeting.
- A Teams meeting is set up with the initiator and each of the reviewers are automatically added to the meeting
- From within the Teams, each of the reviewers discusses the conflict for the document with all having the ability to add and finalize comments in the document itself.
Stay tuned in the future as we integrate in the recording itself to save related to the annotations on the document.
Summary
By providing integration with Teams, the Alfresco Enterprise Viewer shows how to efficiently add a quick video conference for document reviewers. We’ve already completed similar work using Zoom, and next on the roadmap for the Enterprise Viewer is to allow the recording of a call to be stored as a record in the repository.
