TSG has recently released a detailed whitepaper on Documentum and SharePoint Search Alternatives.  The complete paper is available on our website in the downloads section.  This post will share the summary conclusion.

Summary of Whitepaper Conclusions

As presented throughout this paper, the need for a combined search of SharePoint content and Documentum is a common request.  Users would like:

  • Google-like functionality
  • One search for both SharePoint and Documentum
  • Ability to add/parse by metadata
  • Ability to sort by column

This paper reviewed the following solutions:

  •  MyDocumentum for SharePoint – The first option comes from Documentum and allows for search/retrieval and other Documentum functions from within SharePoint.
  • Microsoft SharePoint 2010 Indexing Connector for Documentum – This product comes from Microsoft and allows Documentum content to be spidered (indexed) and accessed from SharePoint like other SharePoint content.
  • OpenSearch – OpenSearch is an open standard supported by Microsoft and others to provide a federated search against multiple repositories.
  • Documentum Publishing – Many clients look to “push” or “replicate” content from Documentum to SharePoint to allow SharePoint to search results.
  • SharePoint Development Approach – Clients comfortable developing on SharePoint can develop integrated approaches.  A screen cam example is located here.

Recommendations for evaluation:

  •  Access to Documentum only from SharePoint – MyDocumentum for SharePoint should be evaluated against other solutions.  Key determination factors will involve specific user scenarios, performance and license costs.
  • Unsecured access to Documentum content from a SharePoint full-text search – SharePoint 2010 Indexing Connector for Documentum should be evaluated.  Key determination factors will include user scenarios, meta-data search needs, security, performance and license requirements.
  • Secured access to both Documentum and SharePoint
    • OpenSearch or SharePoint for Development – Key determination factors will involve user experience/interface and development capabilities.
    • Documentum Publishing to SharePoint – Key determination factors will be user training as well as security and other replication concerns.
