eRoom to Documentum Migration Using OpenMigrate

One of our large pharmaceutical clients recently came to TSG for help with migrating documents from multiple eRoom sources to a Documentum target.  The goal of this effort was to consolidate multiple disparate, global eRoom systems into an existing Documentum system, providing a unified platform for managing regulatory documentation.

This project was a good test of the flexibility of TSG’s OpenMigrate offering.  While the product had never been used to move documents from eRoom, we were able to leverage the configurable framework of OpenMigrate to quickly configure our existing file system source connector to extract documents from the eRooms.  Combining this eRoom source connector with our existing Documentum target connector, we were able to provide the client with an enterprise-level migration tool with minimal effort.

One of the challenges that the client faced was that the metadata stored in the source eRooms did not directly map to fields in the target Documentum system.  To solve this problem, we tapped into the underlying databases of the eRooms and exported the source metadata into Excel spreadsheets.  Users were then able to modify the metadata in the spreadsheets to conform to the standards of the target Documentum system.  After the spreadsheets were complete, we ran them through a validation utility to verify the consistency of the metadata before migrating the documents into Documentum.  OpenMigrate already had the ability to migrate metadata from an Excel spreadsheet, so no additional development was necessary for this implementation.

By the end of the project, we were able to successfully migrate over 7,000 documents with metadata and PDF renditions from 6 different eRooms into a single target Documentum repository.
